Who we are
This Privacy Policy describes how SoldByReels (“SoldByReels,” “we,” “us,” or “our”) collects, uses, and shares information when you use the SoldByReels website at soldbyreels.com and the related products and services (the “Service”). SoldByReels is a brand operated by Christians Thrive Trust, a Wyoming-based trust.
This Policy applies to information we process about visitors to our website, account holders, and people whose information appears in content uploaded to or generated by the Service.
Quick summary
We collect what you give us to operate your account, the listing photos and listing details you provide, and basic usage data needed to run the product. We use it to deliver the Service, generate the content you order, bill you, and keep things working. We do not sell your information.
1. Information we collect
1.1 Information you provide
- Account information: name, email address, password (stored hashed by our authentication provider), brokerage or company name, and any profile details you choose to add.
- Billing information: billing name, billing address, and the payment method you use. Card details are handled directly by our payment processor (Stripe) and do not reach our servers; we receive only a token and limited metadata (last four digits, brand, expiration).
- Listing content: photos, videos, addresses, listing descriptions, MLS numbers, prices, agent narratives, voiceover scripts, music selections, and any other materials you upload or input to produce a video, carousel, or pitch preview.
- Communications: the contents of messages you send us (support requests, feedback, etc.).
1.2 Information collected automatically
- Usage data: pages viewed, features used, actions taken in the product, render queue events, and timestamps.
- Device and log data: IP address, browser type, operating system, device identifiers, referring URLs, and crash diagnostics.
- Cookies and similar technologies: see Section 11.
1.3 Information from third parties
- Public real-estate listing data. When you point the Service at a publicly available listing URL (for example, a brokerage page or aggregator), we may retrieve photos and listing facts from that URL on your behalf. You are responsible for confirming you have the rights to use that content (see our Terms of Service).
- Identity / SSO providers. If you log in with a third-party identity provider, we receive the basic profile fields that provider returns.
1.4 What we don’t collect
We do not knowingly collect government identifiers, financial-account numbers, biometric data, precise geolocation, or sensitive categories of personal information (health, political views, etc.). We do not collect personal information about end consumers (home buyers or sellers) directly; any such information that appears in listing content you upload is processed at your direction.
2. How we use information
We use the information described above to:
- create and maintain your account and authenticate you;
- generate the videos, reels, carousels, and pitch previews you request, including by passing the relevant inputs to our rendering pipeline and third-party AI providers acting as our processors (see Section 4);
- deliver completed renders to you and store your project history;
- charge subscription fees and process refunds;
- provide customer support and respond to communications;
- monitor, troubleshoot, and improve the Service, including investigating bugs and abuse;
- comply with legal obligations and enforce our Terms;
- send you product, account, billing, and security notices, and — if you have opted in — marketing communications.
3. Legal bases (where applicable)
If you are located in a jurisdiction that requires a legal basis (for example, the EEA, UK, or Canada), we rely on:
- performance of a contract to provide the Service to you;
- legitimate interests in operating, securing, and improving the Service;
- consent for optional marketing and certain cookies;
- legal obligation to comply with applicable law.
4. AI processing
The Service uses artificial-intelligence and machine-learning models (some operated by us, some operated by third-party providers acting as our processors) to assemble videos, generate transitions, produce voiceovers, and prepare related outputs. Inputs to those models include the listing photos, descriptions, and audio you provide. We instruct AI providers contractually not to use your inputs or our outputs to train their public models, except where you have separately consented. We retain copies of inputs and generated outputs to deliver the Service to you and to allow you to re-render, edit, or download.
5. How we share information
We share information only as described below.
- Service providers and sub-processors. Hosting (Vercel), database and authentication (Supabase), payments (Stripe), email delivery, analytics, error monitoring, and AI/rendering providers. They process information on our behalf, under contract, and only as needed to perform the service.
- Other people you authorize. Members of your team account see content within that account. If you share a render link, anyone with the link can view it.
- Legal and safety. We may disclose information when we believe in good faith it is required by law, valid legal process, or necessary to protect our rights, our users, or the public.
- Business transfers. In a merger, acquisition, or sale of assets, information may be transferred subject to this Policy.
- With your consent for any other disclosure.
We do not sell or rent personal information, and we do not share it for cross-context behavioural advertising.
6. Data retention
- Account, billing, and project records: kept for as long as your account is active, plus a reasonable period afterwards for tax, audit, dispute, and legal-hold purposes (typically up to seven years for billing records, as Wyoming and federal law require).
- Listing content and generated outputs: kept while your account is active; deleted within thirty (30) days of account closure unless you ask us to retain them or law requires longer retention.
- Server logs and security telemetry: typically up to twelve (12) months.
You can request earlier deletion at any time using the contact details in Section 14.
7. Security
We use industry-standard administrative, technical, and physical safeguards: TLS in transit, encryption at rest, access controls, audit logging, principle-of-least-privilege for staff access, and vendor security review. No system is perfectly secure; if we become aware of a security incident affecting your information, we will notify you as required by law.
8. Your privacy rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you;
- correct inaccurate or incomplete information;
- delete your information;
- export a portable copy;
- object to or restrict certain processing;
- withdraw consent at any time;
- lodge a complaint with a supervisory authority.
To exercise any of these rights, email hi@soldbyreels.com. We will respond within the timelines required by applicable law (typically 30–45 days). We may need to verify your identity before acting on a request. We will not discriminate against you for exercising a privacy right.
California residents
The CCPA and CPRA give California residents specific rights, including the right to know, delete, correct, and limit the use of sensitive personal information, and the right to opt out of the “sale” or “sharing” of personal information. As stated above, we do not sell or share personal information for cross-context behavioural advertising.
9. Children
The Service is intended for licensed real-estate professionals and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
10. International transfers
We are based in the United States and process information in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) for transfers from the EEA, UK, or Switzerland.
11. Cookies
We use a small number of strictly necessary cookies (authentication, security, load balancing) and, if you consent, optional analytics cookies. See our Cookie Policy for details and how to manage your preferences.
12. Listing content you upload
You are responsible for the listing content you submit. Before uploading photos, descriptions, addresses, or other materials taken from a multiple listing service (MLS), brokerage website, or third party, confirm that you have the rights and licences needed (or that a clear exception applies). We process listing content on your instruction; if a property owner, listing agent, or rights holder objects, contact us and we will work with you to remove the content.
13. Changes to this policy
We may update this Policy from time to time. The “Last updated” date above will reflect the most recent version. If we make material changes, we will notify you by email or in-product notice before the change takes effect.
